Essential Duties and Responsibilities

 

Responsible for maintaining the highest level of confidentiality and professionalism

 

Support and promote a positive work environment, continuous improvement culture, and positive community relations

 

Welcome visitors and answer/redirect incoming phone calls in a polite and professional manner

 

Provide administrative support to FUI’s C-Suite and Director of Human Resources, including projects and scheduling of events

 

Manage and maintain the CEO’s calendar and determine prioritization for meetings; proactively address schedule conflicts

 

Prepare itineraries, including booking of flights and hotels, for travel and conferences

 

Maintain an electronic filing system, including executive credit card expenses and reports

 

Assist in the timely creation and editing of various documents, correspondence, presentations, and speaking points

 

Provide the CEO with the necessary background materials for all internal and external meetings, including research

 

Efficiently manage correspondence, including emails, letters, and memos, with discretion and attention to detail

 

Oversee UPS and FedEx accounts; provide backup support for mail runs to the Post Office and local FUI divisions

 

Manage ordering and stocking of office supplies while adhering to cost controls to reduce expenses and waste

 

Prioritize tasks, monitor deadlines, and make sound judgment on workload management

 

Assist with the documentation and preparation of employee recognition, engagement, and wellness

 

Cross-train and provide back-up for other areas of HR, as needed

 

Situations may arise that require employees to temporarily or permanently assume responsibility for tasks not specifically outlined in this job description. Employees may be requested to work additional hours and/or accommodate a heavier than normal workload.

 

Qualifications

 

Associates degree, preferred; or comparable education and/or experience

 

3-5 years of executive support experience; corporate setting, preferred

 

1-2 years of accounting, finance, or business-related experience; 3+ years, preferred

 

Knowledge of office administration, clerical, and recordkeeping processes along with organization skills

 

Proficient in Microsoft Office Suite – Word, Excel, and Outlook; experience with ERP software, preferred

 

Owns execution of tasks and demonstrates excellent follow through; drives for results, fosters a sense of urgency, and prioritizes

 

Detail oriented with a high level of accuracy, discretion, and confidentiality

 

Ability to problem-solve using critical thinking and available resources

 

Advanced written and verbal communication skills with high level of professionalism, patience, and ability to tailor messages across a variety of audiences

 

Strong self-discipline and motivation; shows initiative, takes accountability for work and actions, and maintains a high level of integrity

 

Ability to work in an evolving role and adapt as necessary to meet business needs
