Redwood Area Chamber & Tourism, a non-profit business advocacy and tourism entity, is currently seeking an Administrative Assistant, 32-40 hours per week. This individual must thrive working in a collaborative environment with volunteers, local businesses, and the public. Duties include administrative, clerical and communication support, database maintenance, light accounting work, assisting with the scheduling and preparation of events and programs, updating communications and marketing materials, and other tasks as necessary. Job Description

Clerical support duties of RACT operations including filing, copying, collating, assembling, sorting, processing routine requests for information, daily mail, organizing, and handling items on a priority basis and timely manner. Typing and proofing a variety of correspondence, forms, memorandums, reports, member mailings, newsletters, and other written materials as directed.

Maintain accurate and organized document management system for RACT records and files, including up-to-date membership records.

Manage financial transactions, maintain computerized ledger, accounts payables and disbursements, accounts receivables and invoice, post checks/cash, and daily and/or weekly deposits.

Assist with advertising and marketing duties; create various presentations and promotional/advertising pieces; sell advertising for various projects, promote programs, offers and other RACT Projects.

Create and maintain weekly e-community updates through Constant Contact.

Maintain, monitor, and update RACT website content and social networks (i.e. Facebook, Twitter, etc.).

Maintain a positive3 working relationship with our Chamber Members, Partners, and other community organizations.

Assist RACT Executive Director with project management.

Receive and screen telephone calls and visitors; provide courteous and responsive assistance; answer questions and provide information to the public; and respond professionally and appropriately when referring complaints.

Be familiar with events/conventions, history, lodging, attractions, restaurants, shopping, meeting facilities and sports facilities an any other needed services or information the visitor requests.

Process information requests received via the telephone, mail, email or in person.

Greet all walk-in customers in a courteous and professional manner and direct them to the appropriate staff person.

Arrange, coordinate schedule, and assist with meetings and meeting facilities; prepare rooms; send notices and announcements as assigned; and arrange or assist with refreshments, as directed.

Attend monthly 7:00a.m. Board Meetings and take minutes.

Attendance at RACT events outside of normal work hours may be required of this position.

Perform other duties as assigned.

Required Qualifications:

High School Diploma or General Education Degree (GED).

Proficient in using QuickBooks, Microsoft Office Word, Outlook, Excel, PowerPoint, Publisher, and Social Network (i.e Facebook, Twitter, etc.) applications.

Valid MN Class D Drivers License.

Preferred Qualifications:

Two (2) years experience in a position performing administrative, clerical and communications duties.

Required Skills, Abilities, and Knowledge:

Proficiency in QuickBooks, Microsoft Office Word, Outlook, Excel, PowerPoint, Publisher, and Social Media applications. Strong record keeping and data management skills, and basic internet research skills.

Ability to answer RACT inquiries from the public or members efficiently, and with a positive attitude, utilizing professional business practice of confidentiality and discretion.

Time management skills in organizing projects and establishing priorities in managing workload, including problem solving skills.

Effective written and oral communication skills, including editing written materials.
